Yes, companies can give employees access to the platform, where they can book independently within set budgets. You can also activate an authorization flow where someone must approve the booking first. Or you can give office staff access to book for colleagues.

Yes, our platform allows you to book multiple hotel rooms for different employees in one go.

Yes, companies can set budgets and restrictions, for example by defining a maximum price per night or setting a maximum budget for additional expenses such as dinner and drinks.

Yes, but this depends on the hotel’s cancellation policy. In our platform you can easily see the conditions for each booking.

Invoicing

We take on the payment obligation for the incurred costs. This means employees don’t have to advance costs. We send the company one clear consolidated invoice.

If budgets for extras (such as restaurant expenses) are set in advance, these will be invoiced via our platform. If not, the employee will need to pay those costs themselves.

By default, we send an invoice every two weeks.

Yes, absolutely. We fully adapt invoicing to the client’s needs. You can choose one consolidated invoice at company level, or specified invoices per business unit, department, cost center, booker or even per individual booking. This makes it easy to allocate costs internally or analyze them. Together we determine at the start which invoicing structure best suits your organization.

No, you no longer receive separate invoices from hotels. We handle the full payment process — not only for room rates, but also for allowed extras such as restaurant expenses, parking or lunch packages, provided they fit within the set policy. Everything is neatly combined into one consolidated invoice. No need to process separate hotel invoices or receipts.

Cancellations and changes

That depends on the hotel. When making a booking, we always clearly show the cancellation conditions. Most hotels we work with directly allow free cancellation up to 12 noon on the day of arrival.

You can make changes and cancellations directly via our platform. For complex changes, contact our corporate travel consultants.

Yes, cancelling after the deadline is possible, but the hotel may charge costs. Thanks to our good relationships in the hotel market, we often manage to claim back (part of) these costs. While we can’t guarantee this, we always do our utmost to minimize unnecessary costs for your organization.

In the event of a no-show or late cancellation, the hotel may charge costs. In that case, we use our strong hotel relationships to try to recover (part of) these costs. While not always possible, we always do our best to limit the financial impact for your organization.

Yes, via our management portal you have real-time insight into all current and planned hotel bookings. You can immediately see who is staying where — also visually via a map view — which is important in the context of Duty of Care. In addition, we can provide extensive reports on a regular basis, tailored to your needs, for example per department, cost center or project. This way you keep control of costs and the safety of traveling employees.
